Reservations, Retainers and Payment
A signed rental contract and liability agreement are required to reserve services from Happy Day Catering/Northwest Event Rentals. To secure rental items, your event date and, when applicable, delivery or setup staff, the following non-refundable retainer is required:
- Contracts totaling $1,000 or more: 20% of the contract total
- Contracts totaling $200 to $999.99: $200
- Contracts totaling less than $200: Payment in full
Reservations made less than 14 days before the event date must be paid in full at the time of booking.
All retainers are applied toward the remaining balance. The full balance must be paid before any rental equipment leaves Happy Day Catering/Northwest Event Rentals.
Rental charges apply to all reserved equipment once it leaves our facility, whether or not the equipment is ultimately used.
Equipment Inspection and Returns
All rental items will be inspected by the client and a Happy Day Catering/Northwest Event Rentals representative at the time of release and again upon return. These inspections confirm that the quantity and condition of the items are as documented and agreed upon.
All rental items must be returned clean, in their original packaging and in the same condition in which they were received. Charges may apply for missing, damaged, excessively dirty or improperly packaged items.
Food-Service Equipment
Dishes, chafing dishes, platters and other rental items used to hold or serve food must be scraped and rinsed before being returned. These items do not need to be washed or sanitized.
Linens
Rental linens do not need to be washed. Before returning them, please shake them free of crumbs and debris, make sure they are completely dry and place them in the clear plastic bags provided.
An additional cleaning fee will be charged for heavily soiled linens, including linens stained with chocolate, wine, markers or charcoal. The client is responsible for the replacement cost of linens with permanent stains—such as wax, red wine, crayon or grease—or damage including burns, holes and pulled threads.
Pickup, Delivery and Return Schedule
Rental items may be picked up or delivered one day before the event. All rental items must be returned by noon on the next business day following the event. Sundays and holidays are excluded when determining the next business day.
Unless alternative arrangements have been approved in advance, a late fee equal to 100% of the item’s rental charge will be assessed for each additional day the item is not returned.
Final Counts and Order Changes
Final item quantities are due by Monday of the week before the event. After this deadline, quantities may not be reduced.
Depending on availability, quantities may be increased until three days before the rental items are scheduled to leave our facility. After that deadline, orders are packed, staged and invoiced, and no additional changes can be made.
Delivery and Pickup
Delivery is available Monday through Friday between 7:00 a.m. and 3:00 p.m. Limited Saturday delivery may be available by prior arrangement.
Standard delivery includes curbside drop-off only. Any setup, installation, teardown or movement of rental items beyond the curbside delivery location will be billed as hourly labor and must be arranged in advance.
For pickup, all rental items must be clean, dry, properly stacked and gathered together in one easily accessible location.
Equipment Responsibility
The client is responsible for the security and protection of all rental equipment from the time it is delivered or picked up until it is returned to Happy Day Catering/Northwest Event Rentals.
The client will be charged for all missing, lost or damaged items, up to and including the item’s full replacement value.
All prices are subject to change without notice.
